PDF to PDF/A: A Practical Guide
Use PDF to PDF/A to apply the available archival-conversion structure to a PDF. The current engine requests PDF/A-3B, but a successful download is not proof of full conformance. Validate the output before relying on it for archival submission.
How to Use PDF to PDF/A
- Choose the PDF.
- Run the PDF/A conversion.
- Download the result.
- Validate it with an independent PDF/A validator and review the report.
Conversion and Validation Are Separate
PDF/A constrains a PDF so it can be reproduced reliably over time. Fonts, color information, metadata and source content can affect conformance. Simply changing the filename to end in PDF/A or adding an identification field is insufficient.
The intended conformance level must match the receiving archive’s requirement. A request for PDF/A-1 or another profile is not automatically satisfied by a PDF/A-3B-oriented conversion.
Worked Example
If an archive requires a particular PDF/A profile, note that profile first. Convert a copy, run validation for the required profile and resolve any reported failures.
Keep both the original and the validation report so the submitted version can be identified later.
Inspect basic document properties: use the PDF Info Checker.
Review available metadata: use the PDF Metadata Viewer.
Checks and Common Mistakes
- Do not claim compliance without validation.
- Check the required profile.
- Inspect font rendering and colors.
- Retain the original document.
Frequently Asked Questions
Does this guarantee archive acceptance?
No. Acceptance depends on the required profile, validator outcome and the archive’s other rules.
Can I just rename the extension?
No. PDF/A conformance concerns the document structure and permitted features.
Which validator can I use?
veraPDF is an established validation project; select the profile required by your recipient.
